Property Management

Our Property Management Division prides itself on providing a personalised and professional service.

We aim to maximise your investment and minimise the hassles involved in looking after your rental property. As the caretaker of your investment, we specialise in letting your property, arranging and supervising any repairs as well as general responsibilities involved in managing a tenancy.
We offer a technologically sound property management system. The software programme we use is second to none. This enables us to retrieve records and track all transactions at the push of a button.

TENANT SELECTION
Although we could never guarantee a tenant’s actions, we have procedures in place to minimise the risk of selecting unsuitable tenants and creating problems for our owners.

· All prospective tenants must complete a detailed Application Form before they can be considered.
· We have a large number of carefully screened tenants on our database waiting for a quality rental property.
· We advertising as often as necessary in ‘The Press’
· Credit checks can be performed on all tenants as we are online to Baycorp.
· References are thoroughly checked by the Property Manager who is trained in what questions to ask.
· The final selection is made by the Property Manager, often in conjunction with the property owner.


ROUTINE PROPERTY INSPECTIONS
These are carried out every three months unless we receive alternative instructions from the landlord. A Property Inspection checks the condition of the property, tenant presentation, and highlights any maintenance issues that need to be addressed. A detailed report will be sent to you after each inspection
Initial Inspections are carried out either before the tenant moves in or within the first two days thereafter. This report details the original condition of the property as at the date the tenant shifts in. Along with digital photographs, this report forms part of the records we keep of your property for future reference. This is particularly important when any disagreement arises.
A Final Inspection is conducted on the day the Tenancy is terminated. After examining the state of the property, our Property Manager will determine how much of the bond is to be refunded to the tenant. This is also a prime opportunity to note any maintenance or repair issues that could be made to improve the property.


MAINTENANCE
Our Property Management department will arrange any repairs necessary. It is our policy to obtain authority from our landlords prior to proceeding with repairs. Generally we are given a disbursement limit to arrange small general repairs and owners are contacted for any repairs necessary over that limit. It is important to note that if for any reason the owner cannot be contacted and the repair is deemed urgent we will go ahead at our discretion.
All maintenance documentation is kept on file and a copy of the original invoice is sent to the owner at the end of the month.


RENT COLLECTION
All rents are receipted by our office and kept in our Trust Account until the end of the month when they are deposited into your account.
Our sophisticated software enables us to check on rent arrears daily.
We have very strict arrears policies that our tenants are made aware of, these are strictly adhered to. 


REPORTING PROCEDURES
The following is a list of our standard procedures. In special circumstances we are able to make some alterations.

· Every landlord receives a detailed monthly report regarding the financial activity for each of their properties.

· Rent is credited to the landlord’s nominated bank account on the first working day of every month.

· Following our quarterly inspections, a detailed Property Inspection report is sent together with the statement.

· Tax documentation is provided for end of year returns.

· Invoices for any maintenance work that has been carried out are also forwarded on to the landlord.

· All reports are generally sent by mail however if you prefer these could be e-mailed to you.


REGULAR OUTGOINGS
We would be happy to arrange payment for your rates, insurance or any other regular outgoing on your behalf.


TENANCY AGREEMENTS & BONDS
We are experienced in the execution of Residential Tenancy Agreements. We also have a sound knowledge of the Residential Tenancies Act 1986 and all other relevant legislation.
When a new tenant is selected we take care of lodging the Bond with the Tenancy Services Bond Centre. This also includes transfers and refunds.


MEDIATION & TENANCY TRIBUNIAL
We are trained to act on your behalf at any mediation hearings that arise.
Although we try to avoid any issues that result in a Tenancy Tribunal hearing we are competent in all aspects of these formal proceedings.


APPRAISALS
Appraisals will be conducted on any property in the Christchurch area. Appraisals give the owner an indication of what their property is likely to be worth in the residential rental market. We use our inspection of the property and our extensive knowledge of the current rental market to ascertain the current rental price.
In conjunction with the Sales Team we can offer an Investment Analysis to give you an idea of what your investment property would sell for in the current market conditions.
